## PROCUREMENT ASSISTANT, Abyei, South Sudan
- Organization:UNISFA - United Nations Interim Security Force for Abyei
Organizational Setting and Reporting
This position is located in the Procurement Unit of the United Nations Interim Security Force for Abyei (UNISFA), duty station Abyei. The incumbent will report directly to the Chief of Unit, Procurement or their designate.
Within assigned authority, the incumbent will be responsible for the following specific duties:
- Performs a wide range of office support and administrative procurement functions.
- Monitors processes and schedules related the unit’s outputs, products, tasks, etc.; where applicable, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant legal, financial and other requirements.
- Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc.
- Generates a variety of standard statistical and other reports, work orders, etc, using various databases, such as ERP.
- Provides secretarial, administrative and logistics support to meetings, boards, committees, conferences, etc.
- Assists in the preparation of presentation materials using appropriate technology/software. Assist in the planning and sourcing of procurement and supply chain processes.
- Performs data entry and extraction functions.
- Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions.
- Performs general administrative tasks (e.g. arrangements for meetings and other events, reservations, budget follow-up, etc.), to include preparing and/or processing administrative requests/documents (e.g. requisitions, purchase orders, contracts, expenditure authorizations, etc.).
- Maintains files (both paper and electronic) and databases for work unit.
- Assists in providing software and office equipment support.
- Provides guidance to less experienced staff on general office processes and procedures, computer applications, etc.
- Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.
- Assists with visualizations and updating information material such as web pages or brochures.
- Attends to the tasks of supplier registration at UNGM; creation Business Partners and creation of bank accounts for suppliers and contractors.
- Supports in the tasks of monitoring supplier participation in tenders.
- Performs other duties as assigned.

High school diploma or equivalent is required. The Chartered Institute of Procurement and Supply (CIPS) Level 4 or equivalent qualification is desirable.
Job - Specific Qualification
At least three (3) years of progressively responsible experience in procurement, administrative services or related area is required. Experience working in an international organization is desirable. Experience working with an Enterprise Resource Planning (ERP) system is desirable.
English and French are the working languages of the United Nations Secretariat. For this job opening, English is required. The table below shows the minimum required level for each skill in these languages, according to the UN Language Framework (please consult https://languages.un.org for details).
Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
- This position is temporarily available for 364 days. If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment.
- While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post.
- Subject to the funding source of the position, the eligibility for this temporary job opening may be limited to candidates based at the duty station.
- This temporary job opening may be limited to “internal candidates,” who have been recruited through a competitive examination administered according to staff rule 4.16 or staff selection process including the review of a central review body established according to staff rule 4.15.
- Staff members of the United Nations common system organizations who will reach the mandatory age of separation or retirement within the duration of the current temporary need period are not eligible to apply.Submitting an application or selection for the current temporary job opening does not delay or increase the mandatory age of separation.
