## Programme Assistant, UN Women (Local Post for Nationals of Armenia), Yerevan, Armenia - Organization:UN Women - United Nations Entity for Gender Equality and the Empowerment of Women - Office:UN Women in Yerevan UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action, and peace and security. Under the United Nations Sustainable Development Cooperation Framework (UNSDCF) 2026-2030 and the UN Women Armenia Biannual Work Plan (2026-2027), UN Women supports the Government of Armenia and national partners in advancing gender equality and women's empowerment through strengthening gender-responsive governance, promoting women's leadership and participation in decision-making, preventing and responding to violence against women and girls, advancing the Women, Peace and Security agenda, expanding women's economic empowerment, and transforming discriminatory social norms and gender stereotypes. Working in partnership with government institutions, civil society organizations, women's rights organizations, academia, the private sector, development partners and the United Nations system, UN Women implements a diverse portfolio of programmes and initiatives aimed at strengthening institutional capacities, promoting gender-responsive policies and services, supporting women's leadership and participation, advancing gender-responsive governance, and fostering inclusive and equitable social and economic development. These interventions are implemented through national and regional partnerships and contribute to Armenia's international commitments on gender equality, human rights, sustainable development, and peace and security. Reporting to the Programme Analyst, Gender Equality in Yerevan, Armenia, under the overall guidance of the Programme Specialist based in Armenia, the Programme Assistant provides programme, administrative and operational support for the effective implementation of UN Women's programme portfolio in Armenia. The incumbent supports programme planning and implementation, financial and administrative processes, monitoring and reporting, partner coordination, procurement, logistics, knowledge management and communications, ensuring compliance with UN Women policies, procedures and donor requirements. Working closely with programme teams in Armenia and operations teams in Armenia and Georgia, the Regional Office for Europe and Central Asia, government counterparts, civil society organizations, development partners and other stakeholders, the Project Assistant contributes to the efficient delivery of programme activities, facilitates coordination across multiple programme portfolios, and supports the effective implementation of UN Women's strategic priorities in Armenia. 1. Provide administrative and logistical support to programme implementation - Assist in the preparation of programme work plans, schedules, and administrative documentation. - Support the preparation and filing of programme-related documents, correspondence, and records. - Maintain organized electronic and physical filing systems for programme documentation. - Assist in tracking routine programme activities and maintaining implementation records. - Support the collection and compilation of information required for programme reporting and audits. 2. Provide administrative support to financial and operational processes - Assist in creating and updating projects and routine transactions in the Quantum system under the guidance of the supervisor. - Prepare requisitions and support procurement processes in accordance with UN Women rules and procedures. - Register goods receipts and assist in processing invoices and payments in Quantum. - Assist in preparing payment requests for consultants and vendors. - Maintain records of expenditures and supporting documentation. - Support the preparation of routine financial information and budget tracking spreadsheets. - Assist with the operational and financial closure of projects by organizing required documentation. 3. Provide logistical and administrative support to the Programme Unit - Organize logistical arrangements for meetings, workshops, conferences, training sessions, missions, and other programme events. - Prepare meeting invitations, attendance lists, agendas, and meeting materials. - Arrange travel for programme personnel, including travel requests, hotel bookings, visa documentation, and travel claims. - Assist in preparing briefing materials, presentations, and information packages. - Maintain inventories of office supplies and programme materials, as required. 4. Support resource mobilization and partnership activities - Assist in maintaining records of donor contributions, agreements, and project documentation. - Support the compilation and organization of information required for donor reports and resource mobilization activities. - Maintain filing systems for partnership and donor-related documents. 5. Support knowledge management - Organize programme documents, lessons learned, and reference materials. - Assist in organizing training sessions, workshops, and capacity-building activities for staff and partners. - Support the maintenance of programme databases and information repositories. 6. Provide administrative support to office security arrangements - Assist in maintaining updated personnel and emergency contact lists. - Support administrative arrangements related to office security requirements. - Assist in maintaining security records and documentation. - Report security-related incidents promptly to the designated supervisor following established procedures. - Support the organization of security briefings and training activities, as required. 7. Perform other duties Perform other administrative and operational duties within the functional profile as assigned by the supervisor to support the effective implementation of programme activities and the efficient functioning of the Office. - Respect for Diversity. - Awareness and Sensitivity Regarding Gender Issues; - Creative Problem Solving; - Effective Communication; - Inclusive Collaboration; - Stakeholder Engagement; Please visit this link for more information on UN Women's Values and Competencies Framework: Functional Competencies: - Good knowledge of programme management - Ability to administer and execute administrative processes and transactions - Ability to create, edit and present information in clear and presentable formats - Ability to manage data, documents, correspondence and reports information and workflow - Strong financial and budgeting skills Minimum Qualifications: Education and Certification: - Completion of secondary education is required. - Bachelor's degree in Public Administration, International Relations, Social Sciences, Development Studies, Political Science, Gender Studies, Law, or a related field is desirable. - Minimum 5 years (with secondary education) or 2 years (with a bachelor's degree) of progressively responsible experience in administrative support, project support, office administration, or programme implementation is required. - Experience in the usage of computers and office software packages (MS Word, Excel, etc.) is required. - Knowledge of UN Women/UNDP procurement and financial rules and regulation is an additional advantage. - Work experience in the field of gender equality and women's empowerment is desirable. - Experience in the use of a modern web-based ERP System, preferably Oracle Cloud, is desirable. - Fluency in English and Armenian languages is required. - Knowledge of another official UN language is desirable (French, Arabic, Chinese, Russian or Spanish).
